# Issuing an invoice in the portal

The invoicing profile, a new invoice, issuing and sending it over Peppol, issuing a similar invoice, credit notes, and what the module does not do yet.

You can fill in an invoice for a business buyer in Slovakia directly in the
portal — without an accounting system and without XML. The portal builds the
e-invoice from it, checks it and delivers it over the Peppol network.

The form opens with the **+ New invoice** button in the **Invoices** section.
A ready-made UBL XML invoice from your accounting system can still be sent
with the **Upload XML** button — see [Invoices](/help/en/portal/faktury/).

### Who can issue invoices

Invoices are issued by the **Admin** and **Operator** roles. The **Viewer**
role sees issued invoices but cannot create a new one. Only an **Admin**
changes the invoicing profile and the number series.

### Invoicing profile

Before the first invoice, fill in **Settings → Invoicing profile**. Its data
is prefilled into every invoice:

- **Supplier** — company name, company ID (IČO), tax ID (DIČ), registered
  address and Peppol ID. These come from the company profile and are changed
  there, not in the invoicing profile.
- **VAT status** — VAT payer or not a VAT payer.
- **Register entry** — the text about your entry in the commercial or trade
  register, printed on the invoice.
- **Payments** — IBAN, SWIFT (BIC) and the default payment term (0 to 120
  days).
- **Issuer contact** — name, e-mail and phone.
- **Number series** — one for invoices and one for credit notes.

While something is missing from the profile, the portal shows what to
complete instead of the invoice form. You cannot issue an invoice without the
register entry, IBAN, DIČ, Peppol ID, a complete registered address and the
number series.

A **VAT payer** must show its VAT ID (IČ DPH) on the invoice. You do not
enter it in the profile — it is taken from your organisation's data, where we
verify it in the VIES system. Until your organisation has a verified VAT ID,
a VAT payer cannot issue an invoice. A **non-VAT payer** issues invoices
without VAT and must have its company ID (IČO) filled in the company profile
— on the invoice, the company ID is what identifies it.

The § 7a registration regime cannot be selected in the profile yet.

#### Number series

The number format is a mask: `RRRR` is the year, `RR` a two-digit year and
`#` the sequence number — the number of `#` characters sets the number of
digits. The default invoice format is `RRRR######` (for example 2026000001),
the credit note format `DRRRR####` (for example D20260001). Each series
starts again from 1 in a new year, so the mask must contain the year. Next to
each series you also see the number the next document will get.

A number is assigned **only when the document is sent**, not when the draft
is created. A draft that is never sent uses up no number. The number of a
sent document stays used even if the network later rejects the document.

### A new invoice

The **+ New invoice** button opens the form.

**Buyer.** Enter the company ID (IČO) and choose **Search**. The portal fills
in the company name, DIČ, VAT ID and address from the lists of the Financial
Administration of the Slovak Republic and from the Register of Legal Persons.
If several entities share one company ID (organisational units), you choose
the one you are invoicing. If the company is not found, you fill in the data
manually. You do not need to know the buyer's Peppol ID — without it, it is
derived from the buyer's DIČ.

**Header.** The **delivery date** is required. The payment term and IBAN are
prefilled from the profile. The **buyer reference** and the **order number**
are optional — if you fill in neither, the invoice number is used as the buyer
reference when the invoice is sent (the Peppol network requires one of them).
The invoice number, issue date and variable symbol are filled in when the
invoice is sent.

**Lines.** Each line has a name, quantity, unit of measure (pcs, hr, day,
month, kg, t, m, m², m³, l, km, set), a price excluding VAT and a VAT rate of
**23 %, 19 % or 5 %**. The rate is checked against the delivery date. You can
give a discount in euros on a line, up to the line amount. A non-VAT payer
does not choose a rate; the lines are **without VAT**.

**Summary.** The base, VAT per rate and the amount due are calculated by the
server, not the browser, so the summary matches the invoice that is sent.

Save an unfinished invoice with **Save draft**. Drafts are listed in the
Invoices section under the **Issued in the portal** view, where you can open
them again.

### Issue and send

The **Issue and send** button saves the draft and shows a confirmation: the
buyer, the amount due, the expected number and the delivery channel. Only
after you confirm does the portal:

1. check the invoice against the rules of the Peppol network and the
   Financial Administration,
2. assign it a number from the series and an issue date (the day it is
   sent),
3. set the variable symbol to the invoice number,
4. deliver it to the buyer over the Peppol network.

Sending consumes credit like any other sent invoice — see
[Credit and billing](/help/en/portal/kredit/).

**Check before sending.** If the invoice fails the check, it is not sent and
the portal shows the findings to fix. In that case no number is assigned or
used up, and the draft stays saved.

**Not enough credit.** If sending is stopped by insufficient credit or a
suspended subscription, top up and issue the invoice again — **the number
stays the same**.

**Buyer outside the Peppol network.** If the buyer is not in the Peppol
network, we cannot deliver the invoice yet, and the portal tells you so when
you send it. Send it another way or ask the buyer to register. An invoice
from a non-VAT payer will not be delivered outside Peppol later either,
because it produces no report to the Financial Administration.

**Once sent, a document can no longer be changed or deleted.** Correct a
mistake in an issued invoice with a credit note.

An issued invoice appears in the invoice list labelled **Issued in the
portal**. You follow its status and delivery like any other invoice — see
[Invoices](/help/en/portal/faktury/).

### Issue similar

For an invoice issued in the portal, both its detail and the row menu offer
**Issue similar**. It creates a new draft with the same buyer and lines —
without the number, variable symbol and order number, with today as the
delivery date and the payment term from the profile. The original invoice is
not changed.

This action is not available for an invoice uploaded as XML or for a credit
note.

### Credit note

You correct a mistake in a sent invoice with a credit note. For an invoice
issued in the portal, the detail and the row menu offer **Issue credit
note**. It opens the credit note form with the lines, buyer and delivery date
of the original invoice. Above the form you see which invoice the credit note
is for and how much of it can still be credited.

- A **full** credit note reverses the whole invoice — the lines are the same
  and cannot be changed.
- A **partial** credit note corrects only part of it — adjust the quantities
  or prices of the lines you are correcting.

A credit note always goes to the same buyer as the original invoice and does
not request payment. The **reason for the correction** is required. The credit
note gets its number from the credit note series only when it is sent, just
like an invoice.

Credit notes for one invoice together must not exceed its amount in any VAT
rate. If they would, the portal does not send the credit note and no number is
assigned. Cancelled and rejected credit notes do not count towards that amount.

A credit note cannot be issued for an invoice that has not been delivered (yet),
for another credit note, for a received invoice or for an invoice uploaded as XML.

### What the module does not do yet

- invoices to consumers (B2C),
- invoices to buyers abroad,
- reverse charge (for example construction work between VAT payers),
- the § 7a registration regime,
- delivering the invoice by e-mail,
- tracking payments.
